  • Overview

    Perform all functions of commercial operations to support quotation, order entry, and scheduling functions for Global Pipeline Integrity Division. Communicate with customers, field personnel, Sales, and Project Managers in order to maintain project progress.


    •Coordinates and schedules Field Technicians and tools for In-Line Inspection (ILI) projects,

    •Extracts, organizes, and consolidates run addition and change requests from external and internal customers,

    •Communicates run schedules with customers, Service Center personnel, Project Managers (PM), and Management,

    •Inputs and maintains customer data in database applications (Jobs Database/FSA/CRM) in an accurate and efficient manner,

    •Orders gauge and cleaning pigs or other services as required,

    •Completes Field Technician Run Reports (FTRRs) by updating key data in the internal systems,

    •Creates quotations and processes orders in Microsoft Dynamics CRM Software,

    •Verifies orders against quotations and completes the quote-to-order process in CRM ensuring accuracy of pricing and part numbers,

    •Enters details from large orders in to various Enterprise Resource Planning (ERP) Systems

    •Develops excellent understanding of company ERP Systems, including JobsDB, FSA, CRM, WSGP and makes recommendations for systems improvement,

    •Takes initiative for continuous improvement in processes, work instructions, training materials, and communicates them with management and team members,

    •Ensures data entry gaps are managed and eliminated,

    •Refers customer inquiries to proper Sales and Operations personnel.

    •Serves as back-up support to other Services Coordinators and Inside Sales as needed, •Assists with management periodic operations reporting,

    •Assists with periodic audits of key processes and drives continuous improvement activities.

    Relationships with Others & Communication:

    •Reports to Supervisor, Inside Sales and Scheduling,

    •Runs reports for and sends other relevant information to Data Analysis, Project Management, and Sales, •Schedules Field Services tools and personnel,

    •Provides project necessities to Project Managers and Regional Managers,

    •Works with Inside and Outside Sales Representatives by creating and sending quotes, receiving pricing, completing FTRR’s, and confirming customer availability.

    Customer Orientation:

    •Facilitates quotation, order, and service requests for Project Managers, Inside Sales Representatives, Outside Sales Representatives, other Services Coordinators, and Regions,

    •Ensures that all customer requests are processed correctly and promptly,

    •Ensures that appropriate information is given to the various internal departments,

    •Ensures that issues and conflicts are immediately escalated to the appropriate Manager.


    •High School Diploma required, Bachelor Degree preferred,

    •1+ Year of Scheduling/Logistics/Coordination experience,

    •2+ years of experience working in an office setting with responsibility for data entry,

    •2+ years of ILI business or related industry experience preferred,

    •Strong interpersonal skills with the ability to function under high-stress situations with customers,

    •Strong written and verbal communication skills,

    •Moderate to high tolerance for ambiguity in customer requests,

    •Ability to distill critical information from requests from multiple departments within the organization,

    •Excellent attention to detail,

    •Ability to multi-task, prioritize, and thrive in a fast-paced environment,

    •Ability to read and use process diagrams and flow charts,

    •Strong analytical skills and ability to generate sound solutions,

    •Ability to work independently and interdependently,

    •Strong computer, MS Office, and database skills.
