Preparation of offers on time and according to clients’ specifications (50%)
Takes the lead in receipt, managing the review process and response process for all tenders in assigned regions in a professional and timely manner.
Receives and processes TDW Commercial Manager & ILI Sales Managers requests in a timely manner for the assigned territories,
Ensures the correct technical, commercial and legal tender review process is followed as per ISO process at all times,
Prepares the sales prices based on the costing template, incorporating logistics, engineering and additional costs, requests additional costing from other TDW departments, sub-contractors and discusses final sales price with Commercial and/or Sales Manager before final tender price is approved for tender submission,
Reviews the contracts together with Commercial and/or Sales Manager, ensuring market valued pricing and acceptable commercial terms are considered while supporting pre-defined TDW pricing policies, guidelines and approval processes,
Estimates the logistics costs based on necessary tools and technicians/project management intervention,
Determines all aspects of the offer including deadlines, by coordinating with the different departments such as Engineering, Field Operations, Data Analysis and External Sales,
Collates all documents to be included in the offer, such as pre-qualification documentation, technical & operational documentation, QHSE, commercial & legal exceptions, certification, bank guarantees & bonds, etc.,
Organizes and updates all relevant files and records such as quotations database, pricing file, SalesForce etc.,
Archives and records the foll�ow-up of proposals and budgets together with Commercial and/or Sales Manager recording information on TDW CRM database,
Refers all client clarifications and negotiations to the Commercial and/or Sales Manager,
Assists the Sales Managers, when requested to follow-up client communications,
Ensures timely upkeep and management of all ILI EAM CRM database with information to ensure accurate reporting throughout the business by line management team;
Follow-up of orders from receipt of order to operational handover (50%)
At receipt of order or signed contract, ensures a Pipeline Questionnaire is completed satisfactorily, verifies conditions and conformity with the proposal, inputs the order into the CRM database and prepares the Contract Handover to the Projects, Operations & Finance departments for execution and sales order entry,
Discusses possible discrepancies with Sales Managers prior to handover,
Checks conformity and acceptability of the terms of Bonds & Guarantees with Commercial Manager, raises the required bank documents on the proposed banks,
Follows the ISO9001 sales order process and handover process, takes corrective actions if required and keeps the Commercial Manager informed,
Acts as a facilitator/coordinator for orders requesting special attention,
Handles claims and transmits them to the Quality department if appropriate, and prepares credit notes when approved commercially by Commercial & UK Finance Managers.
Relationships with others
Reports to the ILI Commercial Manager,
Liaises with the ILI Sales Managers, different departments of the ILI Projects & Operations, PPD Operations departments, Finance team and sub-contractors when necessary to exchange information and coordinate the processes of quotation and order.
Discusses with the ILI management team and proposes solutions in case of problems.
Follows the HSE policy guidelines by applying the instructions and procedures of the HSE manual, by participating actively in the Hazards and (Near-miss) Incident Identification process and by behaving safety.
