Position ID


A key function in the IMENA commercial operations team geared towards providing project management office support to Project Managers with regards to project expediting, internal project follow-up, and document control for assigned projects, and ensuring customer requirements are correctly identified and TDW commits and assigns resources to ensure delivery to customer satisfaction.


Preparation of Quotes


  • Receives and processes client requests in a timely manner, 
  • Analyzes the request from a technical point of view and liaises with the Engineering department for non-standard products and/or the Project Managers as needed, 
  • Participates in the commercial review handled by the Sales Manager, 
  • Ensures, together with the Centre of excellence, alignment with customers’ requirements and arranges site survey if required, 
  • Support the Project Manager with evaluation of project costs and resources availability, and completion the project risk assessment if any, 
  • Develops the commercial and technical proposal along with the Project Manager and submits it to the customer.


Contract Review and Handover Process 


  • At order receipt, proceeds with the contract review before entering data in the IT system and discusses all discrepancies with the customer, 
  • Liaises with Engineering and the Customer to follow up on the approbation process of the plans if applicable,  Checks conformity and acceptability of the commercial and legal terms (incl. letter of credit) with the other departments involved, 
  • Conducts handover meeting with the Centre of excellence or alternatively complete the handover document.


Organisation of Order Fulfilment and Invoicing 


  • Participates in the New Orders Board (NOB) meeting with the OFT to represent assigned projects, 
  • Ensures each step of the project execution process is followed and executed on time and within project scope and specifications, 
  • Detects potential risks that could lead to project delays at early stages of the project and puts in place actions to mitigate such identified risks, 
  • Follows up on purchasing and sub-contracting activities, 
  • Handles the order acknowledgement process and follows up with Centre of Excellence (CoE)or Project Manager on all deliverables, 
  • Provides necessary inputs to the CoE for transport arrangement and confirms delivery, 
  • Reports claims and transmits them to the appropriate functional departments, and prepares credit notes. 
  • Supports the project manager with the preparation and submission of invoices to the customer and ensures payment follow up & cash collection.


Document Control 


  • Manages Project Document Register, 
  • Ensures TDW issued documents are compliant with customer specifications and requirements, 
  • Manages the process of uploading/downloading documents to and from customer server, 
  • Liaises with TDW internal departments for on-time issuance of documents, 
  • Ensures collection of all required project documentation from relevant TDW departments (Engineering, Services, HSE, Quality, Logistics, etc.) to be sent to the customer, 
  • Follows up with the customer on the approval status of submitted documents, 
  • Archives project documents properly in the Electronic Filling System.


Services Equipment Preparation and Follow up 


  • Ensures list of equipment is prepared as per Application Engineer requirements within project scope and specifications, 
  • Translates the equipment list into packing list, 
  • Ensures each item is properly documented (datasheet, material certificates, maintenance certificates, test certificates, etc.) and legalized for exportation, 
  • Ensures a final check of Equipment vs. equipment list and signs off on it, 
  • Anticipate transportation of equipment with the packaging and logistics teams, 
  • Follows up on purchasing and sub-contracting activities should such be required for the Services, 
  • Detects potential risks that could lead to project delays at early stages of the project and puts in place actions to mitigate such identified risks.


  • Bachelor degree in commerce with minimum five years of experience in a similar role, or master degree,
  • A team player with strong interpersonal skills,
  • Good knowledge of TDW internal processes and IT systems,
  • Result oriented and solution driven,
  • Fluent in English and French. Knowledge of any other European languages is an advantage,
  • IT literate,
  • Strong organization skills and rigor.
